​MISSION AND HISTORY

​For more than 120 years, National Parent Teacher Association (National PTA®) has worked toward bettering the lives of every child in education, health and safety. Founded in 1897 as the National Congress of Mothers by Alice McLellan Birney and Phoebe Apperson Hearst, National PTA is a powerful voice for all children, a relevant resource for families and communities, and a strong advocate for public education.

Serves as presiding officer and PTA point person: collaborates with school Principal, Faculty, Board and Committee Directors to further PTA-sponsored programs and ensure progress; approves materials written by the Board before publication; coordinates with the Principal, Faculty, Board and Committee Directors to include PTA-sponsored events with the master calendar; prepares for and facilitates PTA Board and General meetings; coordinates with Treasurer to review and counter sign authorizations for payment of reimbursement and cash advance requests.

Manages the Friends of Green Oaks (FOGO) Program; oversees fall and spring pledge drives including developing and distributing flyers to solicit donations. Manages and publicizes all free money programs – Target, Raley’s, e-Script, etc. Develops other fundraising opportunities and ideas, and coordinates implementation once approved.

Facilitates the managing of all social media. This includes answering the PTA email, managing the Facebook pages, and PTA website.

FINANCIAL SECRETARY

Receive all funds collected by the PTA. Funds must be counted and verified in the office, at least once a week, with one additional board member present. Confirm that all payments and warrants are being placed into correct categories. Keep copies of all order forms and checks received, in case of discrepancies. Review all financial reports closely to find errors.

PARLIMENTARIAN

Keeps accurate and concise minutes for Board and General meetings and action items; maintains electronic or hard copies of current year meeting minutes, bylaws, agendas, committee directors and board members. Assists with PTA email and Facebook page. Researches inquires and ensures responses adhere to Green Oaks and PTA policies and procedures and are timely and accurate. Assists with monitoring accuracy and appropriateness of PTA related information on the Green Oaks Fundamental webpage.

Chairs bylaw committee to recruit volunteers for PTA board and committee director positions for the subsequent school year; coordinates annual bylaw review and ratification by the third district.

Amber Sweeney

HISTORIAN

Collect, primarily from the binder in the office, and record all volunteer hours. Provide monthly volunteer hour totals to school secretary for the newsletters, as well as, to the PTA during board meeting. Prepare a year end summary of volunteer hours that is provided to the PTA Corporate office by May, as well as to the PTA board/faculty team.

Attend all board meetings. Be proficient in (or willing to learn) Quickbooks. Pick up funds from front office at least once per week. Reconcile back statements every month. Prepare and present financial reports and check approval reports at all meetings. Keep a close eye on the budget, making sure that request for funds do not exceed budget numbers. Prepare budgets for approval.

Determine the accuracy of the books and records of the PTA. Detect and recommend correction of errors. Prepare two audits per year and report to the board and membership. This job involves following all financial transactions through the records to be sure receipts have been properly accounted for and expenditures made as authorized in the minutes and in conformity with the unit PTA bylaws, standing rules and budget limitations.
